Call for Student Volunteers

Student Volunteers (SVs) are essential to the success of the DIS2025 conference. Being a volunteer provides a unique opportunity to contribute to organising a conference as well as interacting closely with DIS contributors, attendees, and your peers.

Please note that we will only be accepting in-person SVs for this year’s conference.

Becoming a Volunteer

To register, you must be an undergraduate, masters, or doctoral student for at least one semester during the 2024-2025 academic year. DIS 2025 will take place in person in Madeira. No previous experience is required to apply, but we are looking for people who are reliable, enthusiastic, and friendly.

It is your own responsibility to obtain necessary travel visas if required. Please be aware that the visa application process should begin shortly after prospective notification of acceptance.

Please fill out the Call for Student Volunteers form by the appropriate deadlines (see Important Dates above) to be considered.

What will I do as a Volunteer?

As an SV, you agree to:

  • Work around 20 hours before, during, or after the conference.
  • Attend orientation meeting.
  • Be available and perform assigned tasks on time.
  • Arrive at the conference by Monday morning at the latest.

Benefits of Working as a Student Volunteer

  • Free t-shirt.
  • Free conference registration.
  • Opportunities to make new connections, both with your fellow students and with more senior researchers.
  • Access to the student volunteer lounge during the conference.
  • Breakfast and lunch on conference days (ask during the meeting).
  • An exclusive SV welcoming dinner on Friday night, July 4, 2025.

T-Shirt Design Contest

This year, we call on students to design a t-shirt that our SVs will wear while on duty. If your design is selected, you are ensured one SV spot for DIS2025! As a winner, you can either take it or pass it on to a friend (as long as they are eligible to work as an SV).

If you are interested in participating in the t-shirt design competition, please submit your design, including both the front and back of the shirt, as an image or PDF to sv@dis2025.acm.org with the subject line “DIS2025 T-Shirt Design Contest” by May 8, 2025. Please note that winning the contest only guarantees an SV spot; you will still need to perform tasks with the other student volunteers at the conference.

Design Details

You may want to connect your design to the location (Madeira) or not, it doesn’t matter as long as it’s respectful of local culture, fun, interesting, and can stand out a bit in the crowd. Please send us front/back designs, noting that we cannot print on sleeves or the extreme edges of the shirts. Designs should be ONE colour. In general, this means a black or white design on a coloured shirt. The imprint size should remain within an area 30 cm wide and 35 cm high on front or back (11.8″ x 13.7″). You can find the DIS 2025 logo information here: DIS2025 Visual Identity

Submissions Details

The designs can be submitted in a PDF, JPG, or PNG format. If your design is selected as a winning design, we will require the final version to be either in .eps or .ai format.

You can submit several designs or variations.

The deadline for submission is May 8, 2025. We will select a winner in the week following the contest submission deadline.
